Scheduling a dubbing studio: avoiding double bookings

CueFlow editorial team ·

In short

Double bookings happen when dates are kept in several places. The fix is a calendar that checks every request against existing bookings, lets holds expire automatically and mirrors the dates into everyone's calendars.

Where double bookings come from

One date is in a spreadsheet, a second in an e-mail, a third in the voice actor's private calendar. Nobody sees everything at once, and yesterday's confirmation overlaps today's request.

Check every request against the calendar

In CueFlow an existing booking blocks the period: an overlapping request is refused as long as the freelancer does not allow multiple bookings. Dates past midnight and travel times are checked too.

Connected calendars are synced in the background: calendar links every 15 minutes, CalDAV calendars such as iCloud every hour and, on paid plans, Google and Outlook directly, also every hour. The studio only sees busy times as "busy", without private details.

Holds with an expiry date

A hold keeps a period free without booking it firmly. By default it lasts 24 hours to 7 days, 14 days at most, and then expires by itself. So no forgotten placeholders remain in the plan.

Share the plan with everyone

Call sheets go to everyone involved as a PDF, calendar feeds show studio and crew the current dates. The day before the session, CueFlow reminds both sides of the booking.
