Frequently asked questions

Everything important about CueFlow – the booking platform for the German media industry.

General

What is CueFlow?
CueFlow is the booking and coordination platform for the German media industry. Studios can find and book freelancers and coordinate productions. Freelancers manage their availability and their portfolio and get found by studios – across every industry.
Who is CueFlow for?
CueFlow is for studios and companies of every kind – production houses, agencies, broadcasters, podcasters, event organisers and more – and for freelance creatives in the German media industry: directors, editors, sound engineers, voice actors, musicians, lighting technicians, camera operators and many other roles.
Which industries does CueFlow support?
CueFlow is built for every area of the German media industry: film & TV, dubbing & localisation, music & audio, podcasts & radio, live events & theatre, fashion & advertising, gaming & interactive media, documentary, e-learning, sports production and more. The list of industries keeps growing.
Is CueFlow limited to Germany?
CueFlow is designed for the German-speaking market. It follows the workflows and standards of the industry in Germany, Austria and Switzerland. The interface is available in German and English; the German version of legal texts is binding.

For freelancers

What does CueFlow cost for freelancers?
Freelancers can use CueFlow for free, on the Basic plan with up to 5 accepted bookings per month. There are no transaction fees — CueFlow keeps no share of your booking revenue. For more accepted bookings per month, more work samples, Google Calendar connected directly and a place ahead of profiles on the Basic plan in search (sort order “Relevance”, see § 7 of the terms (AGB)), there are optional subscriptions, monthly or yearly, which can be cancelled at any time, effective at the end of the current billing period. You’ll find the price overview at /pricing.
How does calendar sync work?
On the paid plans you connect Google Calendar and Microsoft Outlook directly by signing in; Apple iCloud and other calendars work through CalDAV or as an iCal subscription. How many calendars depends on your plan. Busy times from these calendars block your availability, and cancelled appointments free it again. Syncing runs in the background: calendar links every 15 minutes (right away with “Refresh now”), Google, Outlook and CalDAV once an hour. When each calendar was last synced, and whether something isn’t working, is shown in the calendar settings. Studios only see that you are busy, never private details. You can subscribe to your CueFlow bookings in any calendar.
Can I store my rates?
Yes. Under “Rate settings” you can set up every billing type: per take (e.g. for voice actors), per minute of audio (e.g. for editors), hourly or daily rates and flat fees (e.g. for shooting days or live events). You can also set surcharges for Saturdays, Sundays, public holidays, evenings and nights.
Who can see my prices?
Only signed-in studios. They see your public rates; a rate you negotiated with one studio is visible only to that studio. Visitors who are not signed in and other freelancers see no prices.
How do I mark days I can’t be booked (holiday, illness etc.)?
In availability management you can mark single days, periods or recurring rules as “not bookable”. You can also set fixed times per weekday when you can be reached.

For studios and companies

How do I find the right freelancers?
Use the role-based search: filter by role (e.g. director, editor, sound engineer, voice actor, musician), industry, location and radius. When you enter a date range, the search only shows freelancers who are free then: blocked days, sick leave and busy times from connected calendars are left out.
What is a hold?
A hold reserves a freelancer for a period without making a binding booking and without cost. The freelancer gets an email and can give the time back at any point. You choose how long it lasts, up to 7 days by default and 14 at most. If you confirm the hold within that time, it becomes a request; otherwise the time is released automatically.
How do I manage productions and episodes?
Under “Productions” you can create projects, keep each episode’s status, plan the staffing and follow the production status from “Pre-production” to “Completed”. For open staffing positions you request suitable freelancers straight from the production.
What does CueFlow cost for studios and companies?
Studios pay a monthly or yearly subscription. There are no transaction fees per booking — what you agree on, you invoice to your client yourself and receive from them in full. You’ll find the price overview at /pricing.

Privacy & security

How is my data protected?
CueFlow runs on servers in Germany. Passwords are hashed with bcrypt, stored credentials such as calendar connections and the second factor are encrypted with AES (256-bit keys, GCM), and connections are always encrypted (HTTPS/TLS). How we process your data under the GDPR is set out in our privacy policy.
Can I delete my account and my data?
Yes. Under Settings → My data you can request the deletion of your account at any time. The account is locked at once; after 30 days your details are deleted or anonymised, once no booking is running and no invoice is open. Invoices and booking records are kept for as long as the law requires.
